Starting Check-in
Start1Starting check-in is simple once all your settings and templates have been created. Simply click on the "Check-in" tab at the top and then click on the "Start Check-in" link next to the template you wish to start.
 
 
**If the icons next to your templates and programs read "Waiting for KidCheck Client" rather than "Start Check-in", please consult our Administrative FAQ's section.
 
 

Before you can check-in...
Before you can run check-in, you need to license the computer you want to use to actually process check-ins. This is not needed for administrative computers that you use to just run reports and administratively manage your account.
*** Before licensing your check-in station, you must install the KidCheck Client ***
The KidCheck Client can be installed from “Check-in Tab”; on the left side “Install Check-in Station Software”


Licensing Your Check-in Stations

To license your system, from each computer you want to run check-in on, go to the licensing screen by clicking on the "Settings" link in the top right and then on the licensing tab.

Click on the "Add/Update Check-in Station License" link in the tool bar to start the licensing screen. Select the appropriate settings for your check-in station and click "Save Changes" at the top.

What is a check-in template?

A check-in template defines what locations to open up and how to setup check-in when that particular check-in template is run. This greatly simplifies operation of KidCheck for your employees and volunteers. If you're a church, you'll probably want to have a separate check-in template for each service you offer. If you are a school, activity center, fitness center or daycare, you may have just a single check-in template. Best practices and suggestions for setting up templates and locations to improve tracking and reporting can be found here. KidCheck User Group

 

Creating a Check-in Template

Go to the Check-in Tab and click on Add a New Template from the left side.

Give your new template a name, description and the campus this template will be used for. Once you are done, click on Save at the top right corner.

Once your template has been created, assign which locations will open for check-in when you start check-in using this template.  To add a location to a template, select it from the column on the left and either drag it to the Locations To Open At Check-in column or click the Add arrow. If you’ve set up your system to track guardian locations, you can also those to this template. Once you are finished adding locations to the template, click on the Save Changes button at the top of the page.

Set Up Your Campuses & Locations
 
What is a Campus?
A campus is a single campus or facility that your members may bring their children to. For example, if you have 3 different facilities spread across a region, you will have 3 different campuses. Examples of a Campus name may be "Main Campus", "West Campus", "Downtown Campus", etc...
What is a Location?
A location is a place within a campus that guardians can check their kids in and out of. This can be a classroom, a class name, etc. Example of a location may be "Nursery (Room 102)" or "First Grade Boys", etc... 
 

Creating a Campus

Campus1Select Settings in the top right corner and then go to the Campuses & Locations tab.  Click on Add New Campus to create a new campus. Enter in all the information about this campus, including main phone number, address and primary contact person for this campus. 
 
 
Creating Locations

location1To create a location within a campus, click on the name of the campus you want to add a location to, then click on the Add a New Check-in Location to This Campus link.

When you setup your locations for this campus, you are creating a master library of all locations you may ever want to check children into at this campus. Even if the locations are used at different times throughout the week, add them all in here. You will be able to specify which locations to open up for check-in when you create your check-in templates.

You can also create your guardian locations here as well if you will be asking a guardian where they will be while their child is checked into your facility.

Settings
Click on Settings at the top right corner of the page. This will take you to the settings area for your account where you can choose the appropriate options to complete your setup.  This guide will cover the following tabs under Settings,  Account Info, Settings, Campuses & Locations, Licensing and User Admin.
 
 
 
 
 
 
Configure Your System Settings
Account Info Tab

AccountInfo1Once you choose Settings, you will be in the Account Info tab. This is where you’ll find your main account information under the following tabs: Account Info, Product Info, Label Restock Program and Custom Keytags. Double-check the information in the Account Info and Product Info tabs to ensure it is correct and make any necessary updates. Make sure the Primary Contact listed is the appropriate person because this is the person we will contact when we need to communicate with your organization.

We encourage our customers to join the Label Restock Program (LRP). It is a free service that ensures you never run out of labels.  It counts the labels as they are printed and notifies us when you are ready for your next shipment.  You have the flexibility and freedom to choose your order quantity and minimum on hand quantities and always have 48 hours to decline your next shipment.  To enroll, check the Enable Label Restock box and fill out the information including credit card number.  Then finish by selecting Save at the top right.  

KidCheck also offers Custom Keytags with your logo on them if you would prefer to use them instead of our KidCheck branded key tags.  You can upload your logo here and we will send a proof for you to approve.

 

Settings Tab

Here you will find the global account settings for your KidCheck account. This will be where you set things like the appearance of KidCheck, your facility type, child/staff ratios, text messaging, custom EULA, name badge settings and much, much more. 

quick start_guide_settingsThere are three main Settings Categories on the right side:  Program Options, Check-in Options and Printing Options.  Go into each option area and choose the appropariate choices for your organization for each of the items listed.  Each of the items within these areas has a short explanation to help guide you. 

 

 

    

Add User Administrators

admintab1This is where the main administrator on the account can designate others as KidCheck administrators for your organization. To provide administrative rights, the people you plan to add must have a KidCheck login account complete with user id and password.

 
 

 

admintab2Choose Add a New Administrator and input their name in the primary contact field. Find and click on the appropriate person. You will only have access to see information on those people that have checked into your facility. Select the type of administrator you want them to have. Start/stop can open and close check-in; Customer Administrator can start/stop check-in, change settings, print reports and more; Campus Manager is similar to Customer Administrator but can only complete these tasks for the Campus they are associated with. Then click Save Changes.

remote alertNow at check-out, instead of sending parents to the classroom, walking there yourself, calling on the phone or sending a runner to let them know Mrs. Smith is here to pick up little Alex – you can do it all right through KidCheck. The Child Pick-up Alert allows you to easily and quickly communicate with a classroom directly from the check-in system when a parent/guardian is ready to pick-up a child. It’s the perfect solution for organizations with multiple classrooms located in a separate secure area where children can walk safely to the parent pick-up area.

From the check-in station PC, or an iPad, Tablet PC or Kindle Fire, simply choose the appropriate child(ren) from the main administrative console that are ready for pick-up. This sends both a visual and audio alert through the KidCheck system to the classroom so they know a child is ready to be checked-out. The classroom can utilize a PC, iPad, Tablet PC or the Kindle Fire. The classroom becomes aware of the alert, acknowledges it and releases the child, who then proceeds to the pick-up/check-out area to meet their parent/guardian. A secure check-out with child name badges and guardian receipts is then completed based on the organization’s existing process. In addition to ease of communication and time savings, there is added security as the Child Pick-up Alert remains active in the system until alerts and acknowledgements are completed both at the check-out area and in the classroom.

To help keep the check-in line moving, while still keeping a personal touch, a volunteer or worker manned with an iPad, Tablet PC or Kindle Fire can walk around and help set up parent/guardian and visitor accounts. Rather than waiting until each family reaches the front of the check-in line to create their check-in account, the volunteer can gather and input the pertinent information to set up their KidCheck account while they are waiting. This helps save time, keeps a steady flow for check-in and provides a great opportunity to welcome visitors and connect with families. While setting up the check-in account, the volunteer or worker can introduce themselves to visiting families and start a dialogue, or touch base with a an existing member that has not yet set up their check-in account. Now when the family reaches the check-in station they are ready to check-in and all they need to do is input their 10 digit phone number as their account will have already been created.

It’s not necessary to be at the actual check-in station to complete key check-in administrative tasks. Instead, you can handle these important administrative functions right from a handheld device such as an iPad, Tablet PC or Kindle Fire - whether that’s in your office, in the classrooms, in the lobby or another area of your building. It’s easy, convenient and saves time. Some of the administrative tasks you can do include managing room capacity, checking security codes, sending emergency text messages to parents, changing locations If a child was checked in to a wrong location or needs to be moved, processing a child pick-up alert and more. It’s easier, faster and way more convenient. Plus, just think of the opportunities this provides for the folks in your classrooms to be able to take care of certain items and the convenience of accessing key check-in data without having to physically go to the check-in station.
