About Check Out
The safety functions in KidCheck
are only as effective as your internal policy! Make sure your
teachers/volunteers verify reciepts and that they know how to use the
detail lookup function in KidCheck. Have good policy in place for what to do if there is a discrepancy, and never hesitate to contact the guardian if there is any question.

Checking Out Without Using KidCheck
If
your organization prints nametags and guardian reciepts at check-in,
you can simply match the security codes printed in the upper right hand
corner to ensure that the person picking up the child is authorized. Because the receipts do not have identifying information on them, you can use that to your advantage to create multiple layers of authentication.
Here are some suggestions:
- Require a receipt for entry into the children's area
- Ask the parent to identify the classroom or location the child is in
- Ask the parent to identify the child to be picked up
- Once the child is identified, match the security code on the receipt with the code on the child's name tag
With the above policies in place, if the codes match, you can be confident that the person claiming the child is authorized to do so. There is no need to go through the check in system to check children out. KidCheck will automatically cease their check-in at midnight.
Checking Out Using KidCheck
Quick Check Out
Note: You must print nametags and check-in receipts to use this option
When the system is in Check-in mode, you can check out and time stamp when a child leaves by simply scanning the detail lookup barcode on the child's name label, and subsequently scanning the guardians check-in receipt. If the system identifies them as a match, it will return to the check in screen. If the codes don't match, it will bring up the child's detail lookup information where you will have a list of authorized guardians and contact information. If you see that the person picking up the child is authorized, simply choose them from the drop down list next to "Child Check-Out". Once selected choose "Finish" at the bottom of the screen.
Checking Out Using Keytags
If you're not printing name labels, guardians can use their 10 digit phone number in the check in screen to pull up any children currently checked in. This screen will look exactly like the check-in screen only children already checked in will not be able to be selected and a new box at the bottom will list children to be checked out. The guardian can simply choose finish to check out their children.
Note: It is recommended that you have a printed copy of the "Self Check In" report available for detail lookup if there is any question as to whether or not a guardian is authorized.
Self Check-Out
Self Check-In / Check Out is a great tool for organizations with regular attendees, older elementary children, or organizations where the guardians may not be present. There are two reports that support self check-in/check-out.
Child Name Badges - This report is pre-formatted for an Avery name badge that can be laminated. Children can use their name badge to check in and out. If parent's have SMS text messaging enabled, KidCheck will send them a text whenever the child checks in or checks out.
Self Check In - This report lists children within your organization along with barcodes for check-in, check-out, and detail lookup. This is best used by an attendant at a check-in station.
