tutorial-logoKidCheck's Event Registration is a Premium Edition feature that allows organizations to gather important information prior to event check-in. It's simple and easy to use and is great for events of any size. Use it to manage large events, events with limited capacity, or even small events where you need to manage child to worker ratios by knowing ahead of time who is planning to attend.

In this tutorial, we'll show you how to:
 
 

Creating a new Event



To create a new event in KidCheck:
  • Select the Event Registration main tab
  • In the Events tab, select New Event


Complete the details in regards to your new event:

  1. Event Registration_Event_Details_1Give your event a Name (This is how it will be displayed to the public)
  2. Provide a description or give more details about your event
  3. Provide a location for the event
  4. Assign your event to a Check-in Template (you may want to create your template first if it is a unique event)
  5. Enter the event's date and time
  6. Specify the dates when you want to allow people to register and when registration closes
  7. Specify a limited capacity. Select Unlimited if there is none. If you choose Limit Event Capacity a field will appear where you can determine what that capacity limit is.
  8. Choose whether to display a fee for the event. If selected, a Price field will appear where you can set your prices. You can create multiple pricing points and assign them to be effective for certain dates. (i.e. Early Bird registration discounts)
  9. Choose whether or not you wish to accept online payments (requires a PayPal Business or Premier account, along with the PayPal Website Payments Pro Service)
  10. Choose to make the Event Active. (You can change this later by editing the event details)
  11. When complete select Save Event


Once the event is completed and saved KidCheck will generate a custom URL:

  • KidCheck Event RegistrationSimply cut and paste this URL into any web page or email and mask the hyperlink with custom text (i.e Register Now, RSVP Here)
  • When Parents follow the hyperlink, it will immediately take them to the KidCheck login page.  After they log in, it will bring them to a unique page for your event where they can select the children they plan on bringing to that event.
  • If the parent does not have a KidCheck account, KidCheck will walk them through creating one.

 

Editing an Event

To edit an event in KidCheck:

  • Select the Event Registration main tab
  • In the Events tab, choose the event you wish to edit

  • Select the Edit Event link
  • This will take you back to the Event Details screen and allow you to change your event
  • Select Save Changes when finished

 

 

Managing Registrants


There are several ways you can manage registrants as they come in.

  • Event Registration_Event_Details_3Select the Event you wish to look at in the Events tab

 

 

  • Event Registration_Event_Details_5Choose Registered Kids to see a list of who's registered for your event. (Note: This link only appears when there are registrants in the system for that specific event)

 

 

 

  • Event Registration_Event_Details_6Once in the registrants list you can sort by each of the columns (except Birthday) simply by selecting the column title. (Choose the up or down arrow to toggle Ascending or Descending order)
  • You can also pre-assign registrants to template locations. Simply select and hold the entry for the child you wish to assign and drag it into the correct location. A dotted line will appear above the selected location when you drag the child's entry.
  • Assigned registrants will now show up in groupings based on location in your list. To reassign them, simply select and drag into the new location.


 

Event Registration Reports


Event Registration_Event_Details_7 Several reports are also available to help you manage your Event.

  • Select the Reports main tab

 

  • About 2/3rd down the page you will see several Event Registration Reports
  • Event Registration_Event_Details_8Each of the reports has a description of what gets reported and the reporting format.
