Event Registration is an extremely helpful feature giving organizations an easy way to plan and manage events, including gathering key information ahead; as well as providing families with a convenient and seamless way to register their children.

We understand how important a tool event registration is and are excited to share the following improvements we’ve made based on your feedback.

 

Optional Event Lock for Check-In

Now, when creating an event, you can choose to lock check-in down to only allow children who have pre-registered for that specific event. This provides more control for your organization, as only registered children will be allowed to check in for the event. This is especially helpful when your event is at capacity or is a paid event, so additional kids who show up the day of can’t check in without administrator approval.

There is still flexibility for allowing check-ins if needed on event day. Even if an event is set up with event lock, administrators can override it and allow a child to continue check-in after completing any event survey questions that apply.

Smart Groups for Easy Communication

Communicating with your registered event attendees is even easier. There’s no need to manually create and add each registrant to a list for group communications. Within the event, there is now the option to create a smart group filter for your event. As each person registers, they will automatically be added to that event’s smart group.

Using smart groups saves time and increases efficiency. As the smart group has already been created as part of the registration process, simply choose that group to send a broadcast email or broadcast message.

You can even use a smart group from a prior event to communicate with past attendees. For example, you can use last year’s VBS smart group to let families know registration is open for this year’s event. Then, as they register for the upcoming event, they will be added to the smart group associated with it.

Improved Event Custom Fields

We’ve improved the custom fields associated with events by using KidCheck surveys, giving you a more robust and easier way to gather the information you need.

From t-shirt sizes, snack options, friend requests and more, there are now more question type options beyond a simple yes or no or single input answers. This expands your ability to get more detailed information. You can also designate if the information you are asking for is per child or per family. The information gathered will be associated with the child in the Admin Console and available for the duration of the event. Additionally, if a child was not pre-registered and an administrator allows them to continue check-in, they can still complete any applicable event survey questions.

Plus, an Additional Improvement: The “New Family Report”

We also wanted to announce we’ve improved the “New Family Report”. This report, which is available in the reports section of KidCheck, has been enhanced to provide more details related to key information about visiting families. In addition to overall visitor numbers, it also includes important family profile data such as number of check-ins, guardians, children names, contact information, allergies, photo permission, and more.

The report gives you an understanding beyond just how many visiting families you have in a certain time period. It also provides helpful information on who they are, how to contact them, and their visiting history with your organization.
